The process of writing scientific papers is highly complex and submission deadlines are often very tight. Even for experienced researchers, it is easy to underestimate the amount of work needed and be overwhelmed a few days (or even hours!) before the deadline. To meet the deadline, one has to work long hours, which inevitably causes a lot of stress and fatigue. Worse, papers written in haste are more likely to contain errors, and consequently to be rejected. As with any project, good planning lies above all as the key to success in writing articles.
Although sometimes a conference will grant an extension to the deadline, you should never rely on this extension to complete a paper. Always aim for the original date of submission and, if necessary, use the extension to make minor changes. |
1.1. Choosing the conference or the journal

Relevance
The relevance of a paper for a conference or journal is one of the main evaluation criteria. It is therefore necessary to aim at a conference or a journal compatible with the key themes of the paper. Often a list of these key themes is provided on the website of the conference or journal, with the submission instructions. Another simple technique to find relevant conferences or journals is to identify published papers whose content is similar to the paper to be written, and determine where these papers were published.
Deadline
For conferences, it is important to target those whose submission deadline allow sufficient time for writing. To facilitate this task, there are many websites that provide a list of major conferences in a particular field along with their due dates. Here are some examples for areas encompassing IT:

Time and place
The date and place of the conferences are also important selection criteria. It is normal to be attracted to conferences abroad where you can discover a new country. However, these conferences can be very expensive (ie, airfare, hotel, etc.), therefore one should ensure to have the required budget.
Students should always confirm the budget with their supervisor before submitting a paper to a conference. |
Contribution types
Some conferences may allow the submission of different formats related to the degree of scientific contribution. The four formats most commonly encountered are as follows:

If the research project is not advanced enough, it is preferable to target a conference that offers the possibility to submit a short article or, in the case of full articles, to present a poster.
Prestige
The prestige of conferences or journals in which a researcher publishes his/her articles is a key factor when the time comes to apply for a scholarship, a grant or an academic position. To determine the quality of a conference or journal, one may base its decision on bibliometric indicators such as the impact factor, which measures the average number of citations to papers published in this conference or journal. Some Web sites, including the SCImago Journal & Country Rank, are used to view the ranking of conferences or journals, based on these indicators.

However, the more a conference or journal is prestigious, the more difficult it is to get published therein. Thus, the acceptance rate of a conference typically allows one to evaluate its level. Before submitting an article to a conference or journal, one should ensure that the quality of the submission is comparable to previously published work therein. If this is not the case, it may be wise to aim for a conference or journal with a more favorable acceptance rate.
It is always desirable to have one or even several alternative plans, if we go beyond the deadline of a conference, or if the article is not accepted at the targeted conference. However, it is unethical to submit the same article (or similar text) to several conferences (or journals) simultaneously, because it unnecessarily burdens reviewers who volunteer their time. It is therefore important to identify alternative conferences whose deadlines are after the date of response of the targeted conference. |
1.2. Establishing a schedule
View section
Once the conference or journal is chosen, the next step is to set a schedule covering all stages of preparation of the article, until the date of submission. In the case of a conference, this date is constrained by the submission deadline.
The development of an article is a complex process that is expected to begin before the research, to continue during the research and to end after the acquisition, analysis and interpretation of the results. While it is tempting to build a full version in one go to save time, this approach often leads to a dead end, requiring a redo of a significant part of the work. In some cases, this may result in missing the submission deadline. A better approach is to develop the article iteratively, each iteration corresponding to a more complete version of the article which may include one or more of the following tasks:
Literature survey
This task is used to identify previous work in the field that tackles the same problem, or that uses a similar methodology. The results of this survey will be used primarily to write the literature review (see Literature review section). However, some references can also be used to:
- Establish a benchmark to compare one’s own approach
- Support or facilitate claims in the paper
- Provide the context for the experimental framework of the paper
- etc.
The literature survey normally begins before the research and continues until the submission of the article. At first, it should be broad enough to include the works offering complementary approaches and those on related applications. This research should eventually become more focused, so as to restrict the list of references cited in the article.
Experimentation
With the exception of particular types of articles (e.g., Case studies or Literature review), experimentation plays a central part of any scientific paper. It is typically carried out in four steps:
- Planning:
The purpose of the planning stage is to determine the experimental methodology that will be used to check the research hypotheses. In the eventuality that a new approach is proposed for a problem, the experimental methodology typically includes the following tasks:
- If applicable, select the approaches found in the literature that would serve as benchmarks for comparison.
- Identify the test datasets in the literature or generate those datasets for computer simulations or from measurements.
- Choose the appropriate metrics to evaluate the quality of those different approaches.
- Determine the parameters to be used for the tested approaches.
- Schedule and allow sufficient time to acquire data and perform measurements, if necessary. This process can be particularly long (and it is even more important to plan well) if the data must be acquired, for example, in experiments on humans or animals, or in remote areas, or if taking measurements/testing that take several hours or even days.
- If a sophisticated statistical analysis of the results is planned, one needs to design a rigorous testing protocol. References are given in the Resources tab to help you properly design your experiment.
- Etc.
- Implementation:
Conducting experiments generally plays an important role in a research project. During this stage, it is important to follow the experimental design planned during the planning phase.
- Data acquisition:
Once the experiments are completed, the next step is to consolidate, cleanse and restructure the results for analysis.
- Data analysis:
This step aims to validate or refute the research hypotheses based on experimental results. According to observations, the analysis aims to refine the experimental methodology or propose new experiments.
An error often encountered in data analysis is to generalize from a limited number of observations; for example, it is wrong to establish that an approach is better than another, based solely on a few examples. Rather, it is recommended to validate or disprove a hypothesis using a statistical test where a confidence level can be specified.
As for the literature survey, experimentation should begin before writing. A strategy to facilitate the planning of experiments is to determine in advance the contents of tables and figures in the article. At the drafting stage, these tables and figures are then produced from the results.
Writing
As mentioned above, it is preferable to use a systematic approach to building article writing step by step, instead of trying to write the article all at once. The following tips can be used to facilitate the writing:
- Write directly into the template of the conference or targeted journal. This will avoid unpleasant layout surprises.
- Start by building a skeleton of the article : identifying its sections, sub-sections, tables and figures. Use this skeleton as a guide when writing.
- First write the easiest sections. For some people, it will be the introduction, while others will be more comfortable with the methodology.
- Work on one section of the article at a time.
- Write a first draft without worrying about style. Once writing is started, avoid to go back on the text too frequently. The revision of the draft will be another step.
- If blocked, put the article aside for a few days.
- Ask a colleague to proofread
- Identify each version of the article with a number or a date.

If the writing is done in teams, it is important to determine in advance the sections for which each team member is responsible. In addition, it is strongly recommended to use a version control system such as SVN, CVS or Git. These tools facilitate collaborative work, conflict management in work files and the recovery of earlier versions. |
Revision
Once the writing is completed, the revision of the paper is done in two steps:
- Content revision
The purpose of this first step is to revise the content of the paper. In this step, we validate:
- Relevance and coherence of the different parts of the article (i.e., title, abstract, introduction, literature review, methodology, experimentation, discussion, conclusion)
- Clarity of contributions, the rationale for the proposed solution and analysis of the results
- The appropriate use of references
- Redundancy of the content
- The quality of figures and tables
- The numbering of the pages
- etc.
- Style revision:
Once the content is validated, it’s time to revise the style of the paper. This means one has to revise:
- Grammar and spelling,
- Clarity and length of sentences (short and clear sentences are better)
- The fluidity of the sequence of sentences
- The global structure of the document
- etc.

If several people are involved in writing, the review process can be problematic. A strategy to reduce conflicts is to revise the article one person at a time, each person passing their corrections to the next. However, it is important to determine the order of persons before proceeding. Several rounds may be needed to make all the corrections. |
It is imperative to allow for some delay in receiving corrections from other team members. These people may have a busy schedule that does not allow them the time to work on the article right away. The schedule and calendar of the members must be considered when determining the order in the revision process. |
